Statement of Purpose

The Wings Awards Program has been established to:

  1. Recognize outstanding achievement in the amateur performing arts in the city of Huntsville.
  2. stimulate a spirit of cooperation among Huntsville's amateur performing arts organizations to the enhancement of the overall community cultural life.

Policies

  1. Participation. Organizations in the Wings Program shall meet the following guidelines:

    1. The organization must be a performing arts organization that produces fully staged musical and/or non-musical shows.
    2. The organization must be federlly recognized as a non-profit organization.
    3. The organization must provide tickets to al shows being judged for all judges.

  2. Organization. The Wings Program shall consist of the following:

    1. Steering committee.

      1. The Steering Commitee will be composed of the following:

        1. Two representatives from each participating organization
        2. A secretary, treasurer, chairperson, and judges' liason to be elected yearly from the steering committee representatives by the committee. Said positions will remain on the committee for a second term.
        3. The same individual may not hold an administrative position (chairperson, secretary, or treasurer) and serve as an organization's representative.
        4. Two representatives from the Arts Council.

      2. Members of the Steering Committee shall perform the following duties.

        1. Attend all meetings of the Steering Committee

        2. Each organization's representatives must take charge of one of the following banquet related duties

          1. Invitations

            1. Print the actual invitations
            2. Compile and gather addresses of potential attendees
            3. Print address labels
            4. Organize a mass mailing of invitations

          2. Facilities

            1. Locate an appropriate hall/space in which the annual banquet may be held
            2. Make any arrangements necessary to obtain said space
            3. Communicate with other committee members information necessary for the completion of other jobs (i.e., number of tables, available decorations, staging/lighting needs/availability, layout of hall, etc.)

          3. Decorations

            1. Create an appropriate theme for the annual banquet
            2. Obtain/create table and/or other decorations with a given budget
            3. Communicate with facilities person to insure a well-organized event

          4. Program

            1. Decide on the format of the awards presentation at the annual banquet
            2. Select a guest Master of Ceremonies, with Committee approval
            3. Have the program of the evening printed

          5. Publicity

            1. Adequately publicize the annual banquet
            2. Publicize award nominations
            3. Said publicity should include, but it not limited to, newspaper, radio, and television

      3. Administrative duties

        1. Chairperson

          1. Chair all meetings

        2. Treasurer

          1. Handle all monies for the Wings Program
          2. Help establish budgets as needed
          3. Keep a running account of bank balances

        3. Secretary

          1. Record and distribute for review minutes from all meetings
          2. Handle any correspondence not releated to the actual judging process (i.e., thank you notes, etc.)

        4. Judge liaison

          1. Act as liaison between the Steering Committee and the Judges Panel
          2. Handle all correspondence relative to the judges and directors of all eligible shows (i.e., judges' forms, directors' forms, etc.)

    2. Judges Panel

      1. Organization/participation

        1. Each participating organization will apoint two (2) judges to the panel.
        2. Each organizaton will receive two (2) votes.
        3. The Arts Council, although not a producer of productions, will also provide two judges and receive two votes.

      2. Judging policies

        1. Each judge will, if humanly possible, attend every production of the member organizations. If a judge is unable to attend, ARRANGEMENTS FOR A SUBSTITUTE MUST BE MADE.

        2. Each judge will be provided with a set of guidelines from the directors of each show.

          1. These guidelines will include but are not limited to nominees in each category.

          2. It will be the responsibility of each organization to insure that their judges are attending the shows.

          3. Judges will remain anonymous for the following reasons:

            1. To avoid undue influence by any organization
            2. To protect their relationships with their peers

          4. Any Wings judge announcing himself/herself to be a wings judge will immediately be eliminated from the judging panel.

        3. The Judge liaison will be responsible for any meetings of the Judges Panel deemed necessary. It is recommended that the judges meet at the start of the season prior to the first show and as frequently thereafter as needed.

        4. Judging results will come from tallying the ballots submitted by the judges.

        5. In a final meeting taking place after the last show of the season, the judges will determine judge's choice awards and break any ties that may have occurred.

  3. Awards

    1. Eligibility: Excepting paid guests, any individual who works with a participating organization for any job related to an eligible show shall be eligible for a Wings Award. In the case of workers who are paid, nomination guidelines spelled out in the director's sheet must be followed.
